Privacy policy
We advise businesses on handling data responsibly, so we hold ourselves to the same standard. This notice explains, in plain language, what personal information Cortex Harmony collects, why, and what your rights are under the Protection of Personal Information Act (POPIA).
Who we are
Cortex Harmony is an AI automation and business intelligence consultancy based in Birchleigh North, Kempton Park, 1618, Gauteng, South Africa. For the purposes of POPIA, Cortex Harmony is the responsible party for the personal information described on this page. What we collect, and where
- Contact form. Our contact form asks for your name, email address, an optional phone number and your message. Submissions are delivered to us by email; they are not stored in a database on this website.
- Email, phone and WhatsApp. If you contact us directly, we receive whatever details you choose to share — typically your name, contact details and the content of the conversation. WhatsApp messages are processed by WhatsApp (Meta) under its own privacy terms.
- Booking a session. Bookings on our booking page run on Calendly, which collects your name, email address and chosen time to create the appointment. Calendly processes that information under its own privacy notice; we receive the booking details.
- This website. The site itself sets no advertising or analytics cookies and runs no tracking scripts. The one exception is the booking page, where the embedded Calendly widget loads from Calendly's servers and may use its own cookies to function. Our hosting provider keeps standard server logs (IP address, pages requested) for security and troubleshooting.
Why we use your information
We use the information above for one purpose: to respond to your enquiry and, if you engage us, to plan and deliver the work you have asked for. We do not add you to mailing lists, we do not sell or rent personal information, and we do not use it for automated decision-making about you.
Who we share it with
Nobody, except the service providers needed to carry the communication itself: our email hosting provider, Calendly for bookings, and WhatsApp for chats you start there. Each processes your information only to provide that service. If a client engagement requires involving a third party, we will tell you first.
How long we keep it
We keep enquiry correspondence for as long as it is needed to handle your enquiry and any engagement that follows, and to meet our legal and accounting obligations. If you would like correspondence deleted sooner, ask and we will do so unless the law requires us to keep it.
Your rights under POPIA
You may ask us at any time to confirm what personal information we hold about you, to correct it, or to delete it. You may also object to processing or withdraw consent you have given. To exercise any of these rights, email info@cortexharmony.co.za — we aim to respond within a reasonable time and without charge for straightforward requests.
If you believe we have handled your information improperly, you have the right to lodge a complaint with the Information Regulator (South Africa).
Changes to this notice
If our data practices change — for example, if we add analytics to this website — we will update this page before the change takes effect.
