Four questions owners ask before they automate anything
Each guide answers one of them properly, with the reasoning shown, so you can make the call yourself. No stats we cannot source, no client stories we cannot name.
These four questions come up in almost every first conversation, and they are usually asked in the wrong order. Owners open with price, because price is the number that has to be justified to somebody else. But a cost you cannot check against anything is just a number, so the useful order runs the other way round.
Start with whether you need a machine or a person at all. If the work is varied and judgement-heavy, no automation will help and the rest of the reading is academic. If it is repetitive and the rules are already clear, move to which process goes first — the decision that most often separates an automation people defend from one they quietly work around. Only then does cost become answerable, because by that point you know how many systems are involved, what volume runs through them, and what an hour of the current process is worth. WhatsApp sits slightly apart: it is the channel most South African customers actually reply on, and it carries opt-in and template rules of its own.
Each guide is written to be usable without us. The scoring test, the week-long audit and the payback sum are things you can run on your own business, and where the honest answer is that a process is not worth automating yet, the guide says so. If you would rather see the delivery side, that is set out under how we map a process before touching any software.
Which business processes should you automate first?
Four factors scored out of 20 — how often it runs, how long a run takes, what a mistake costs, how many handoffs it crosses — plus a fifth applied as a pass-or-fail gate, the processes that usually win, and the ones that should wait.
Automation or another hire: which does your business need?
Cost shape, how each copes when volume doubles, how each fails, and what it does to the team — with the honest conclusion that most growing businesses need both, in a particular order.
What does AI automation cost in South Africa?
Why nobody quotes off an email, the six things that actually move the price, the four shapes a cost can take, and how to work out your own payback ceiling before you speak to any provider.
WhatsApp automation for customer follow-up
What you can legitimately automate on South Africa's default business channel — lead capture, quote follow-ups, reminders, order status, FAQs — plus what must stay manual, and the opt-in and template rules that keep you from being blocked.
